Language constraints

During the conference itself, document production facilities are needed by smaller working groups as well as by the group as a whole. The bottlenecks occur most often prior to plenary sessions, when many reports are needed simultaneously. The extent to which materials need to be translated increases the complexity of the job. It is worthwhile to devise a flow chart of anticipated materials needs in advance and staff and equip the materials production team accordingly.Where translation is used, just as in the use of any other outside services, the individuals involved need to be offered the opportunity to share the conference intents as early on and as deeply as possible. They are greatly assisted by opportunities to meet as a team to work out ongoing vocabulary issues, and to work as needed with individual participants. It is not always inappropriate by any means to engage the linguistic skills of participants in the translation enterprise, allowing more face-to-face communication among participants.
