Conference structure

While the decision-making process and the intellectual momentum of a conference give it meaning, the structure gives it life. The methods used by the organizers to run the conference make the difference between the possibility of transformational events and the dull rehearsal of dull ideas. The practical aspects of the conference mean the difference between constant distraction over irritants and focused attention on creativity. Leadership organization means the difference between facilitated participation and wasted time.

Many conferences are accused of having too much structure but in fact the most common problem is not too much structure, but misdirected or dysfunctional structure or an inappropriate style of facilitation. Few people would accuse a football game of having too much organization. Participation, creativity and passion are all possible. Nevertheless, it is an intricately structured event.

If the conference's structure does not move the group toward what they believe to be the intent of the event then it may be seen as overly structured. This is especially true if the content is appropriate but there is no perceived progress toward the goals. There is a growing value in people participating in the decision making process of the event. If participants are frustrated by the process and feel that little can be done to effect the course of the programme, then it may be accused of excessive structure. Many participants and the organizers have multiple reasons for being involved in the conference and if these are not allowed for, there may be complaints.
